[size=5][size=3]Hi, hope someone can make sure I'm on the right track with this program.

My husband (Paul) repairs motors for the textile industry. There are 2 salesman who sell the motors to different companies. When a motor needs to be repaired, the salesman brings the motor back to the shop for my husband to fix.

Objective:
My husband needs to (1) track the number of hours spent on the each different model of motor (2) track the number of hours spent working on each of the 2 salesmens accounts.


Question #1 Is This the Correct Way to Setup Hierarchy????


E = Paul
C = Salesman Bob
P = Colorful Yarns Textile Company
T = Motor GVX123

C = Salesman Steve
P = Ugly Yarns Textile Company
P = Soft Yarns Textile Company
P = Earthtones Textile Company
T = Motor JKL455
T = Motor GVX123
T = Motor LMM909

Question #2 Time Entry Conflict


When I manually plug in the above times and make notes, the program gives error msg of time conflict . . . during the 10:00 - 12:00 time block I need to record that BOTH Motor JKL455 and Motor GVX123 are being worked on, thus billable

From what you describe, that is a good way to setup the hierarchy.  I would suggest going to Tools | Options | Task tab and renaming the levels to something like:

Employee
Salesman
Company
Motor

This will make your reporting more meaningful.

Question #2
You can have overlapping entries if you go to Tools | Options | Time Entries tab and check the box Allow entries to overlap.

I just noticed that Motors are not unique to company or sales person.  There are a couple ways to handle this.

1) Use Activities in place of motor.  Under Tools | Options | Activities, you could create Activites that correspond to each moter.  When creating a time entry you then select the motor.  When you want to report on Motor, you report on Activity.

2)  What I think is more appropriate is to stay with the hierarchy I described in my previous post, but for each motor enter the model number in the Task ID field for the Task Properties.  You can then report on Motors by running summary reports on Task Id.  With this approach you still have Activities to use as they were designed and you don't have to select an extra field for each time entry.
